The Trust for Social Achievement Foundation is recruiting a motivated individual to start work as a Grants Management Associate.

Responsibilities

The grants management associate is expected to:

  • Grant approval process
    • Facilitate review process by logging inquiries, sending correspondence, and tracking deadlines
    • Prepare weekly staff task report
    • Ensure that all organizational and grant documents are complete, scanned, and filed
    • Draft annexes, grant agreements, and grant award letters
    • Keep contact information in the grants management system up-to-date
    • Keep all grant folders up-to-date
    • Complete any other administrative tasks necessary for the smooth processing of grant approvals
  • Grant monitoring process
    • Log incoming grantee interim and final reports and ensures completeness of reporting package
    • Communicate with grantees in the event that required documents are missing
    • Follow-up with relevant team members to ensure timely processing of grant reports
    • Complete any other administrative tasks necessary for effective grant monitoring
  • Compliance
    • Ensure that documentation has been submitted by grantees to support reported results (i.e. attendance sheets, test results) and tests the documentation/ checking for errors
    • Review tax declarations submitted by grantees
    • Review disbursement schedules
    • Monitor status of beneficiary declarations, maintain database, and plan/execute beneficiary declaration testing and tracking grantee KZLD registration and declarations
    • Complete any other administrative tasks necessary to ensure compliance
  • Capacity-building
    • Build a database of accounting and financial contacts
    • Provide logistical support for trainings, when needed
    • Complete any other administrative tasks necessary to support capacity building activities
    • Perform related-party search for third party suppliers

 

Qualifications and Experience

The grants management associate shall be an individual with experience in assisting with project administration and shall possess at minimum a bachelor’s degree in a related field, i.e. law, public administration, business administration, etc.

 

Competencies

 

  • High-level proficiency in using the following Microsoft Office applications: Word, Excel and Outlook;
  • Familiarity with the operation of databases;
  • Excellent command of Bulgarian; outstanding written communication skills
  • Working knowledge of English

 

Other

  • Attention to detail;
  • The ability to work within short timeframes and to meet deadlines is a must;
  • Highly organized;
  • Able to spot errors/catch problems and propose solutions when reviewing documents;
  • Confidence to verbalize and flag potential issues to manager;
  • Excellent communication skills and ability to support the team efforts;
  • Willingness to travel 10 percent of the time;
  • Respectful attitude towards the target community;
  • Resourcefulness: seeks solutions to identified problems;
  • Ability to work both independently and as a part of a team;
  • Unquestionable ethics and personal integrity.

We are offering a competitive remuneration that is commensurate with experience.  This is full-time contract position.
